How to reduce unpaid school fees without chasing parents

Unpaid fees are the biggest money problem most private schools face. Much of the debt isn't parents refusing to pay: it's unclear bills, awkward ways to pay and nobody reminding them at the right time. Here's what works.

1. Send a clear bill before resumption

Parents pay faster when they know exactly what they owe and why. Send each family an itemised invoice before the term starts: tuition, levies, new-student charges, any discount or scholarship, and the balance carried from last term.

One invoice per child, with the total for the family, avoids the "I thought I'd paid for both" conversation.

2. Make paying easy

Every extra step loses some parents. Offer the ways they already pay:

  • Online by card or bank transfer, from the invoice itself
  • Bank deposit, with the teller uploaded as proof
  • Cash at the office, with a receipt every time

Whatever the method, every payment should be matched to the right child automatically and a receipt sent straight away.

3. Know who owes what, every day

If the bursar needs a day to tell you who hasn't paid, the reminders go out late. You should be able to see, at any moment, each class's collection rate and every family's balance, including arrears from earlier terms.

4. Remind early, politely and automatically

A reminder a week before the deadline works better than a stern letter a month after. Automatic reminders by SMS or email, with the amount and a link to pay, get paid without anyone having to make awkward calls.

5. Offer part payments and wallets

Some families can't pay a full term at once but would pay in two or three parts. Accepting part payments, with the balance always visible, gets more money in than waiting for the full amount. A family wallet lets parents pay ahead whenever they have money, and the school spends from it.

6. Decide your policy, and apply it to everyone

Whether you hold results or exam access for unpaid fees is your decision, but parents accept a rule better when it's written down, announced at the start of term and applied to every family the same way.

How Qyskul helps

In Qyskul you set fees per class and term once. Invoices are made for every student, with levies, new-student charges, discounts, scholarships and arrears worked out. Parents pay online through Paystack or upload a bank teller; each payment is matched and receipted. Reminders go out automatically, family wallets let parents pay ahead, and the fees page shows who owes what, class by class, all term.

Questions

Should we hold results for unpaid fees?

It's your school's decision. If you do, announce it at the start of term and apply it to everyone. Qyskul can hold results for families with a balance and tell them who to contact.

Can parents pay part of the fees?

Yes. Part payments are recorded against the invoice and the balance is always visible to the parent and the bursar.

Can we give a sibling discount or scholarship?

Yes. Discounts and scholarships are applied on the invoice, so the parent only sees what they actually owe.
